GRADUATE RECRUITMENT APPLICATION

Enabling interviewers, assessors and administrators in my company to easily hire the right talent during graduate assessment centres.

Approach and Contribution

  • User interviews
  • Documenting requirements and user stories
  • Building a dashboard
  • Prototyping
  • User flows through process mapping

Timeframe

6 weeks/ 3 design sprints

Tools

Figma, Google Data Studio, Tableau

Stakeholders

Administrators, assessors and interviewers.

Result

The application successfully went live. Stakeholders reported having an improved experience, particularly with the refreshed dashboard.

The Challenge

This aim of this project was to support the recruitment process for our company's graduate program, by rebuilding and improving the digital platform used

During graduate recruitment, assessment centres are held with a range of activities and interviews. Activities are performed in groups, with two assessors ranking each group and providing feedback on the candidates. Interviews are done one on one with an interviewer and candidate.

The initial application was a basic minimum viable product and did not cover all the needs of its end users. The goal of the redesign and rebuild was to improve existing features and explore opportunities.

User Roles/ Personas

ASSESSOR
- Needs to move around while organising and assessing activities
- Less time to write on the spot feedback
- Mobile/ tablet app more beneficial
INTERVIEWER
-
Will be sitting while interviewing candidates
- Needs to write more notes
- Laptop application more beneficial
ADMIN
- Uses the application before and after the assessment centre, not in real time
- Owns the calibration dashboard used to compare candidates
- Laptop application more beneficial

My role was to redesign the admin portal of the application, while supporting redesign of the assessor and interviewer portal.

Admin Portal - Current State

Since the current state is a minimum viable product, it covers basic functionality but the experience needed improvement.

User Research

My first step was to understand the requirements for the admin side, both in terms of the overall user flow and the calibration dashboard. I conducted interviews with two different admin stakeholders, one each for the admin workflow and the dashboard.

I summarised the existing application workflow which we were building upon, explored what they did currently, and what would make their roles easier. I identified gaps and pain points, and discovered that both the dashboard and workflow needed a refresh with additional information, more legibility and better user experience. I also found some gaps from the interviewer/ assessor perspective.

I documented my findings from the interviews and converted them into user stories.

Prototyping - Admin workflow

I created a process flow showing how users would use the application. I reviewed this with the team and got feedback. I then created a rough prototype in Figma. This went through a couple of iterations with the stakeholder, through which I added more detail each time.

Once I added details and ensured the initial prototype covered stakeholder needs, I collaborated with the developers so that the design is in a form they can implement with code using bootstrap.

Prototyping - Dashboard

I also made my first dashboard prototype on pen and paper and shared it with the team and stakeholder. I then built the dashboard based on the prototype. This was initially done on Google Data Studio, but the choice of tool was changed and I rebuilt it using Tableau and PowerBI.

The iterative approach for building the dashboard can be seen below.
